Okavango Research Institute | Administration Officer


The Okavango Research Institute invites applications for the position of Administration Officer.

The successful candidate shall be expected to carry out a wide range of Administrative and Human Resources Management activities to the Institute such as;
(i) Assist the Institute Administrator with Administration and Human Resource issues of the Institute;
(ii) Accurately process documentation, record and retrieve data manually and in computerized databases;
(iii) File documentation and perform other clerical administrative support functions to provide fast, accurate and cost – effective services to the Institute;
(iv) Prioritize work in accordance with laid down schedules.
(v) Provide secretarial services to committees of the Institute;
(vi) Advise and respond to queries from staff with regard to policies, processes, procedures and regulations within delegated areas of discretion;
(vii) Implement the university’s procedures for the recruitment of staff and provides professional and administrative support to appointment and selection committees;
(viii) Ensure that new employees complete recruitment formalities and contracts and facilitates the induction of new employees;
(ix) Attend to and resolve employee complaints and grievances;
(x) Prepare draft appointment, promotion, transfer, confirmation, etc. letters as directed in accordance with personnel policies;
(xi) Extract and summarizes information as directed and identifies anomalies and draws these to attention of appropriate levels and
(xii) Carry out any other duties as may be directed.

(I) Education COSC / BGCSE.
(II) Technical Certificate in Office Administration or equivalent basic formal training in administrative activities.
(III) Functional computer literacy and the ability to use simple word processing and spread sheet programmes.
(IV) Knowledge of computerized Human Resources Management record system
(V) strong interpersonal communication skills, organizational skills, negotiating skills and should be assertive and pro-active.

At least two years’ experience in a clerical administrative function and proven functional computer capabilities; thorough knowledge of office administrative procedures is essential together with on-the-job training in UB’s various administrative procedures.
